CONTRACT TO CLOSE - $450

UPON EXECUTION OF A CONTRACT: 

  • Review and audit all contract documents for accuracy, compiling all necessary paperwork to initiate the transaction.
  • Send a “New Contract / Details & Timeline” email to title, lender, both agents, and any TC’s or assistants involved—highlighting key contract terms and milestone dates.
  • Provide a custom one-page Transaction Summary attached to the introductory email for quick reference.
  • Send executed contract to clients (copying you), introduce myself as your transaction coordinator, outline key next steps and include full contact info for the title company.
    • For buyers: may include home inspector recommendations, if the agent has provided TC with that information.
  • Update MLS status as needed (listings only, upon instruction).
  • Confirm delivery of earnest and option fees; file the receipted page.
  • Ensure survey, T-47, and Seller’s Disclosure Notice are delivered to and signed by all parties.
  • Draft and facilitate amendments (negotiated by agent) during standard business hours, if requested.
  • For buyer-side contracts: retrieve previously signed IABS and Buyer Rep Agreement from the agent. (If not available, refer to separate Buyer Rep setup service.). 


AFTER THE OPTION PERIOD: 

  • Submit file to broker compliance and begin collecting all required documents.
  • Track and complete any missing compliance documents—send for client signature and upload for review.
  • Send an “Out of Option” or Next Steps email to the client including:
    • Tips and resources for home insurance, movers, utilities, and home warranties, recommendations/referrals to be provided to TC by agent.
    • Executed contract amendments and agreed-upon repair list (if applicable).
  • Send out Inspector Information form for signature (if required for compliance).
  • Assist with home warranty selection, if applicable, and notify title of selection for closing.
  • Send executed amendments to title and agents. (Only send to lender if instructed.)
  • Upload HOA documents and resale certificates to compliance, if applicable.
  • File title commitment, if required.
  • Verify acceptance of survey and T-47 with title or request new survey, if needed.
  • Confirm agent’s commission with agent and title.
  • Submit transaction for Commission Disbursement Authorization (CDA).


THE WEEK BEFORE CLOSING: 

  • Schedule closing appointment with client and title company, copy agent, and send calendar invite to agent and client(s).
  • If needed, coordinate mail-out or mobile notary with client and title.
  • Send CDA to title (unless broker submits directly).


A FEW DAYS BEFORE CLOSING: 

  • Send Closing Reminder email to client with date, time, and location.
  • Ensure file meets broker compliance for pre-closing approval.
  • Send final walk-through/Buyer’s Acceptance form for compliance (if applicable).


FUNDING & POST-CLOSING: 

  • File final settlement statement and copies of commission checks (if required).
  • Confirm transaction has funded and close out file in compliance.
  • Send a warm Congratulations Email to the client(s) with helpful post-closing tips and a review link for your agent profile (if desired by agent).
  • Update MLS status to Closed (for listings, if instructed).


CONTRACT TO CLOSE WHEN REPRESENTING BOTH BUYER & SELLER - $650

Discounted/bundle rate when agent is representing both the buyer & the seller.

ALL INCLUSIVE LISTING MANAGEMENT - $250

 

“Listing Appointment to Active on MLS & Beyond!”

What’s Included:

  • Prepare all listing and brokerage compliance documents, including property-specific disclosures.
  • Send out Seller’s Shield disclosure request for the SDN, if applicable.
  • Obtain necessary client signatures on all required paperwork.
  • Send an introductory email to the sellers with a brief overview of next steps and a request for documents (survey, disclosures, etc.).
  • Schedule and coordinate the photographer, stager, or other vendors (if requested by the agent and contact info is provided).
  • Input listing details in MLS, including uploading photos, virtual tours, and attachments.
  • Agent to provide a property description.
  • Upload applicable documents to MLS attachments and/or Transaction Desk (e.g., SDN, survey, T-47).
  • Agent to provide Offer Guidelines document for MLS attachments, if desired.
  • Email MLS draft to agent and client for final review and approval before going live, ensuring accuracy of all listing details.
  • Make the listing live in MLS (upon agent instruction and during business hours), or notify the agent once the listing is ready to go live.
  • Confirm showing instructions with agent and/or client for use in showing service.
  • Add the listing to the appropriate showing platform (ShowingTime, BrokerBay, Showing Smart) and include seller contact info for scheduling.
  • Notify sellers once the listing is live, provide the MLS number, and follow up on any outstanding items if needed.
  • Submit listing file for brokerage compliance review and approval.
  • While the listing is active: Add open house details, process listing amendments (e.g., listing date or price changes), during regular business hours.

What’s Not Included:

  • The Transaction Coordinator does not create or write any marketing material, Offer Guidelines sheet, or individual photo descriptions for MLS.

MLS INPUT ONLY - $100

Includes full MLS input and uploading of listing photos and attachments. Agent must provide any property details not readily available from a previous listing, tax records, or online photos.

PREP LISTING DOCUMENTS - $50

Preparation of all required compliance documents for a new listing, including the Listing Agreement, IABS, and any applicable forms or addenda.
Please note: This does not include obtaining the SDN, survey, or T-47.

OFFER WRITING - $50

Agent must provide all offer terms in writing via detailed email or text.


  • Please confirm your TC’s availability before sending offer terms.
  • TC will prepare all offer documents (excluding IABS, Buyer Rep, or broker compliance forms—see separate service), obtain buyer signatures, and return signed documents to the agent for submission.
  • Note: Offer submission to the listing agent is the agent’s responsibility and is not included in this service.
     

Counter Offer – $25 (if needed)
Includes updating the original offer, making requested changes, and retrieving new signatures.


Availability of this service may be limited outside of normal business hours.

LEASE LISTING SETUP - $150

Includes MLS input, photo upload/scheduling, preparation of the Lease Listing Agreement, IABS, and all required compliance documents. Also includes any necessary MLS updates after the listing goes active, if applicable, during normal business hours.

Please note: This service does not include screening potential tenants or retrieving/reviewing lease applications.

LEASE (LANDLORD REP) CONTRACT-TO-CLOSE - $150

Once a tenant is selected, this service includes preparation of all lease agreement documents and applicable addenda, updating MLS status, retrieving signatures, and submitting the transaction for compliance. All email communication with the landlord from contract to close is also managed.


Fee is $100 if the lease agreement has already been fully executed.

LEASE (TENANT REP) CONTRACT-TO-CLOSE - $150

Once your tenant client is selected and approved by the landlord, this service includes:


  • Preparation of any required tenant compliance documents (agent must provide signed IABS and Buyer/Tenant Rep Agreement to TC)
  • Retrieving signatures on all lease agreement documents (approved lease provided by listing agent)
  • Submitting the lease to the compliance department
  • Generating the lease commission invoice for the listing broker
  • Send the broker’s W-9 with the commission invoice
  • Handling all email communication with the listing agent from contract to close

BUYER REP & IABS - $25

In response to NAR changes effective summer 2024, this new service assists with preparing the long-form or short-form Buyer Representation Agreement and IABS documents before the agent meets with a client for a first showing. It includes obtaining client signatures.


Please note: This service may not be available outside of normal business hours. Contact your TC to confirm availability if needed.

REFERRALS (FOR REFERRING/SENDING BROKER) - $100

Includes generating the referral agreement, coordinating with the receiving agent, submitting the transaction for broker compliance, tracking the CDA and commission payment, sending the W-9, and handling all other necessary broker compliance tasks.

*NEW - COMPLIANCE ONLY - $225

This Transaction Coordinator package focuses exclusively on broker compliance tasks. It includes preparing and obtaining signatures for missing compliance documents required by the broker (e.g., Wire Fraud Notice, General Information, Inspector Information), excluding the Listing Agreement, IABS, and Buyer Representation Agreement (provided by the agent).

Additional services include ensuring overall broker compliance, generating the CDA for title, and closing out the file upon completion.

Please note: This service does not include email communication with other agents, lenders, or clients and is performed during normal business hours only.
